Your responsibilities as an Employer to your Employees
Make an Employee folder on your computer and save the following for each employee:
Employment Contract: The contract explains the compensation is either Salary or Hourly and clearly indicates vacation and total rate of pay.
TD1 CRA Forms - Federal TD1 form and Provincial TD1 forms need to be signed and saved in your own Employee payroll file folder.
Payment: Funds can be transferred from your business account via Direct Deposit, Cheque or Cash, but always ON-TIME.
Paystubs: Proof of payment for every pay cycle to clearly explain the (Gross Pay, Vacation Pay, CPP, EI and Income tax calculations)
Holiday Pay: Statutory holiday pay or paid Time off on Statutory holidays.
T4 Slips: T4 Slips for the end of the year so the employees can file their personal tax returns.
CRA remittances: Monthly remittances to CRA for Payroll Tax deductions by the 15th of the month.
Letters: Job Letter for Employee Mortgage purposes
WSIB: Workplace safety and Insurance board insurance and WSIB premiums remittances quarterly.
ROE: Record of Employment if and when required for each employee who leaves your company or is terminated by you.
EHT: Employer Health Tax (EHT) is an Employer Health Tax applicable if your payroll is above $1,000,000 a year.

Payroll is complicated that’s why.
If you look at Quickbooks or any other accounting software they all charge extra for Payroll. This is because Payroll is very tedious and highly prone to error.

Record of employment is needed for every time a employee has not been paid for 7 days in a row. You have terminated the employee or they have quit.
We don’t make up the rules they are stated here:
The rules clearly state ROE is required:
each time an employee experiences an interruption of earnings; or
when Service Canada requests one.

The penalty is $2000 per ROE not filed properly. Per employee.

T4 slips for employees must be filed with the CRA by Feb 28th of each calendar year and and provided to your employee by first week of March.

You can pay Hourly or Salary both have different rules.
Hourly: Hourly employees must be paid at least the minimum wage in the province and also vacation pay of 4%. The Hourly employees are also paid Holiday pay for the Statutory holidays.
Salary: Salary employees don’t have to count their hours and the vacation is generally accrued and not paid out. So they just take time off and the salary they are being paid will be the same if they are working or not. Generally, vacation time for salary employees is 2-3 weeks. Salary employees as a rule of thumb should have a salary that is higher then hourly employee salary for the year.

Some small business owners may try to do their own payroll and realize that they missed a lot of the elements required. Then a reconciliation is required to match the Paystubs, T4 slips and CRA remittances and make any catch up payments to employees or to the CRA to stay compliant.

WSIB provides you a ‘rate’ on registration based on the type of business you are. You take your total employment gross income divide that number by 100 and multiple that number by the rate. This new number becomes your total premium submission.

The CRA payroll remittances are due by the 15th of each month. This means the money should be in the CRA’s payroll account by the 15th. Not on the 15th.
This means you really have to send the money to the CRA around 10th or 11th of the month to ensure it clears the bank and hits your CRA account.
Failing to meet this time deadline results in interest charges against you.

ADP and Wagepoint are both great softwares that simplify your Payroll. We are Accountants and not payroll specialists. We understand the material well enough to help you but we obviously don’t have the resources that big companies like ADP and Wagepoint do.

TD1 Forms are required for every employee you hire. They can be found here.
There is a TD1 Federal and a TD1 Provincial please ensure you get both forms signed as part of your payroll employee file.

You also don’t need a trimmer to cut your hair you can use scissors. However, the results most probably will not be favourable for your hair.

Yes, That’s not a issue. You can pay your employees in any form of currency as long as the employee understands this and is in a written contract. You will need a written contract explaining the medium of payment.
You can pay your employee using
Direct Deposit, Cash, Cheque, ETransfer, Crypto etc.

Casual workers are hired for a period of time that does not exceed 90 working days in one calendar year. This means you can’t hire a FULL TIME employee as a CASUAL employee and get away with it.
You will be audited and you will be penalized for this. Please read the CRA note on this.

Minimum Wage changes pretty much every year. Minimum Wage Rates
The minimum wage is different for students vs general. Students are paid slightly less because they know slightly less.
